Attendance, and a way to reach people
Most meetings need the same four things: a name, the organization the person represents, an email address for the minutes, and a signature if the attendance counts for something. The starting sheet has exactly those, with the widest cells for the name and the email. Remove the signature column if all you need is a mailing list, and the other columns grow to fill the space.
Put the context on the page
- Type the meeting topic in the subtitle so the sheet can be filed with the minutes.
- Fill in the date, or leave it empty to write it by hand on the day.
- Add a footer note if you will use the addresses for anything beyond the minutes.

Questions
Do I need a signature column for a meeting?
Only if you need a record that people were present, such as a board or committee meeting. For a casual meeting, name and email are enough.
How do I add a topic and date to the sheet?
Type the topic in the subtitle and the date in the date field. If you leave the date empty, a write-in line is printed instead.
Can I collect email addresses for the minutes?
Yes. The preset already has an email column. Say in the footer note that you will use addresses only to send the minutes.
My meeting has 40 people. Will it fit?
On a Letter page in portrait, the sheet holds more than twenty rows at the default size. Set pages to two, or choose a 9 pt font for more rows per page.
Can people sign in before the meeting starts?
Yes. Leave the sheet at the door. If you add a time in column, you also have a record of who arrived late.
