What belongs in a template
A sign in sheet is a table, so the template question is really a column question. Ask for as little as the job needs, because every extra column is one more thing people write and one less row on the page.
| Column | Why it earns its place |
|---|---|
| Name | The one column almost every sheet needs. Give it the most width. |
| Date or time in | Proves when someone was there. Time in is faster to write than a date. |
| Contact (phone or email) | Only when you will actually contact people afterward. |
| Purpose or company | Useful when the sheet is a log of who came and why. |
| Signature or initials | Makes the line an acknowledgement rather than a list of names. |
Use the same columns in a spreadsheet
- Design the sheet above with the columns you want.
- Press CSV template to download a file that opens in Excel, Numbers or Google Sheets, or press Copy as table.
- Paste into cell A1. The first row holds your headings and the rows below are empty, ready for typing instead of writing.
How many rows fit on one page
The row count comes from the page size, the header and the font size. These are the numbers for the plain template, with the free footer line included.
| Page | 11 pt (default) | 9 pt | 14 pt |
|---|---|---|---|
| US Letter, portrait | 22 rows | 27 rows | 17 rows |
| US Letter, landscape | 16 rows | 19 rows | 12 rows |
| A4, portrait | 24 rows | 29 rows | 19 rows |
| A4, landscape | 15 rows | 18 rows | 12 rows |
A bigger font means taller rows, which is easier to write in but fits fewer people on a page.
Questions
What is the difference between this and a downloaded template file?
A downloaded file has fixed columns, so you edit it in a word processor or give up and write extra headings by hand. Here the columns are the editable part: change them and the printed table is redrawn to fit.
How do I get the template into Google Sheets?
Press “Copy as table”, click cell A1 in a new Google Sheet, and paste. Your column names land in the first row with blank rows beneath.
Does the CSV open in Excel?
Yes. The file uses commas and a header row. Cells that would start with an equals, plus, minus or at sign get a leading apostrophe so a spreadsheet never treats them as a formula.
Can I make a template for a form with a time in and a time out?
Yes. Add a column, set its type to time in or time out, and the cells show a blank clock to fill in.
Where is my template saved?
Press “Save design” and it is kept in this browser. Clearing the browser’s site data removes it, so download the PDF too if it matters.
